MILES NOW — Privacy Policy

Miles Now records your drives so you can claim mileage. Your drives live on your device and in your own iCloud account. We run no servers, there is no account to sign up for, and we cannot see your trips.

Where your data lives

There is no Miles Now server and no Miles Now database. Your drives, vehicles, rates and settings are stored:

• On your device, and
• In your own iCloud account, if you leave iCloud sync on, so your drives follow you between your iPhone, iPad and Mac.

Apple provides that storage. It is your iCloud account, it counts against your iCloud storage, and we have no access to it.

Location

Miles Now uses precise location, including in the background, to detect when you start and stop driving and to measure distance. This is the core function of the app, and it is why the app asks for “Always” location access.

The GPS route of each drive is stored only on your device and in your own iCloud account. We never receive it, and it is never sent to a team.

Coordinates are sent to Apple. To show a street name instead of a pair of numbers, and to draw the map of a drive, the app asks Apple's location services to turn coordinates into addresses and map data. Those requests go to Apple and are handled under Apple's privacy policy, not ours. This is the only circumstance in which your coordinates leave your device.

You can revoke location access at any time in iOS Settings. Automatic drive detection stops working without it; you can still add drives by hand.

Purchases and subscriptions

Miles Now Pro is an auto-renewing subscription sold by Apple. We never see your payment details.

To know whether your subscription is active, the app uses RevenueCat, a third-party subscription service. Your purchase and subscription history is transmitted to RevenueCat and retained by them so the app can check your entitlement, including after you reinstall or change devices. This is why the App Store privacy label for Miles Now declares that Purchases are collected.

RevenueCat is not given your name or email, and Miles Now does not create an account identifier for you.

Teams

Team mode is entirely optional. If you never create or join a team, nothing in this section applies to you and nothing about your data changes.

What a team receives

When a drive is tagged to a team, a reduced copy of that drive is placed in a private Apple iCloud area shared with that team's manager. It contains:

• The date and time of the drive
• The start and end place names — the addresses shown in your own log
• The distance
• The purpose or category it was tagged with
• Any note you typed
• A display name you choose for yourself

What a team never receives

• Your route. The GPS path your phone recorded is never shared with a team.
• Your coordinates. Exact start and end coordinates are never shared with a team. If a place name has not been resolved yet, your manager sees “Location pending” rather than a coordinate.
• Receipt photos. Photos you attach stay on your device.
• Untagged drives. Personal drives are never shared with anyone.
• Your other teams. If you drive for more than one business, neither can see the other's drives.
• Your Apple Account details. Miles Now cannot read your Apple Account name or email, which is why you choose your own display name.

How drives get tagged

A drive is shared with a team only if it is tagged to that team. Tagging can happen in two ways: you can tag a drive yourself, or — if you have set a team as the default for a given purpose — drives you record with that purpose are tagged automatically, without a further prompt. You can change or remove a team's default purpose at any time in Teams, and marking a drive Personal removes it from a team.

Who can see what

• A manager can see the drives their members tag to that team, and can approve or reject them.
• A supervisor can view and export the same drives, but cannot approve them.
• Members cannot see each other's drives.
• People in the same group within a team can see each other's approval decisions — whether a drive was approved or rejected, and any note the manager wrote — but not each other's drives.

Where team data is stored

In Apple's iCloud, and the custody is split:

• The reduced copies of your drives sit in an area of your own iCloud account, which you share read-only with your manager. They count against your iCloud storage — if your iCloud storage is full, new drives stop being shared until you free some up.
• The team's settings, its roster and your manager's approval decisions sit in an area of the manager's iCloud account and count against theirs.

Miles Now never holds any of it.

Leaving a team, and being removed

A member can leave a team at any time from Teams. When you do, your drives stop being shared and the shared area is deleted. A manager cannot leave their own team, because their Apple Account owns the team's shared areas and iCloud cannot transfer that ownership.

Drives your manager already received stay in their records. A business needs to keep the mileage records behind reimbursements it has already paid, and once data has reached another person's device we cannot reach it. The same applies if a manager removes you: they keep what they already have. We tell you this before you join, on the screen where you accept an invitation.

Invitations

If you type an email address or phone number to invite someone to a team, that value is sent to Apple's iCloud service once, to find that person's iCloud account so an invitation can be delivered. It is not stored on your device or anywhere else by Miles Now.

What Miles Now does not do

Miles Now does not track you across other companies' apps or websites, does not use advertising identifiers, does not sell or share your data with advertisers or data brokers, and does not use analytics or crash-reporting services.

There is no login. There is no profile. We do not hold a copy of your drives.

Your control

• Turn off automatic detection, or revoke location access, at any time.
• Delete any drive from the app.
• Team mode is off unless you create or join a team, and a member can leave at any time.
• Marking a drive Personal removes it from a team.
• Export your drives to CSV or PDF at any time; the file is created on your device.
• Deleting the app removes its data from your device. To remove the iCloud copy, delete it in iOS Settings → your name → iCloud → Manage Storage.

Children

Miles Now is not directed at children and does not knowingly collect data from children under 13.

Changes

If this policy changes in a way that affects what leaves your device, we will say so in the app before the change takes effect.
